How to load custom backgrounds to Microsoft Teams using our desktop tool

Many of our customers ask how to load custom backgrounds into Microsoft Teams.

If you’re tech-savvy enough to know your way around the hidden “Application Data” folders on your filesystem, our help guide will show you exactly where you should copy and paste the image files on Windows and MacOS.

However, if you’re looking for a super simple alternative, why not try our easy to use desktop app instead? We made it really easy to import custom backgrounds into Microsoft Teams. No fiddly filesystem navigation required!

Here’s how:

  1. Download the desktop tool for Windows and MacOS. Note: on MacOS, you may see a warning that the application is from an “unidentified developer”. We are working to fix this message. Until we do, please follow these instructions to launch the application.

  2. Choose to save the file to your computer

  3. When the download is complete, you’ll see the message that the file finished downloading. Click “Run” to start the setup utility.

  4. Depending on your security settings, Windows might pop up a screen stating that the app is unrecognized. Click “More info” to proceed, then click “Run anyway”

  5. The application will begin installing.

  6. After installation is completed, the application will start. If it doesn’t, open it using the desktop icon or by finding the application “Hello Backgrounds MS Teams Custom Loader” from the Start Menu. When the application has started, click the “Get Started” button.

  7. Click “Select Files” to choose files from your filesystem.

  8. Navigate to the directory your files are stored and select the image files you want to import as backgrounds. You can select as many files as you like. Please note that only .JPG files are supported.

  9. Previews of your chosen files will be shown in a grid. You can choose to remove files, clear all, or add more files to import. Once you’re satisfied, click “Import files” on the top right or bottom right of the grid.

  10. The tool will copy your files to the right place in your filesystem so you can use them in Microsoft Teams. After the process is complete, you’ll see a screen confirming how many files were copied, and indicating any errors. If you need help, please copy all the text in the section “Expand to show logs” and send it to our support team.

  11. The process is now complete. You can open Microsoft Teams and check out the background effects options. Your new custom backgrounds will be shown at the bottom of the list. Follow our help guide for Microsoft Teams if you need help.
